Project access rights

An office is using AproPLAN recently, they have 4 Enterprise licences packages.

 

After a constructive meeting, about their future site, with the several intermediaries , they have all decided to use the potential of AproPLAN, to talk the same communication language on this site.

 

 

 

 

 

 

As a guest you can :

 

  • Invite participants (as a guest), give access to the folders for which you also received an access.
  • See and download documents and the versions of these documents, of the folders you received an access
  • Create a list (with at least an Expert licence

 

 

As a Contributor, you can :

 

  • Invite participants (as a guest or contributor) and give access to the folders of which you also received an access for.
  • See and download documents and the versions of these documents, for the folders you received an access.
  • Create a list (with at least the Expert license)
  • Add documents and versions to the folders you received an access for
  • Edit and archive the documents you have uploaded
  • Add folders in the folder structure. And remove and move the folders you have created.

These rights are perfect for the participants that are working on a project of which the basic data is included by the administrator for example. So he don't have to go into these settings.

 

 

 

As a manager, you have all the rights on the date you have added in the project  :

 

  • Invite participants (as a guest, contributor or manager) and give / remove access to the folders from which you received an access.
  • See and download documents and the versions of these documents, for the folders you received an access.
  • Create a list (with at least the Expert license)
  • Add documents and versions to the folders you received an access for and edit, move, remove an archive the documents you have added.
  • Add folders to the folder structure
  • Edit and remove the settings of the project : categories, statuses, rooms etc ...

 

 

 

As an Administrator of the project, you have all the rights in the project even on the documents, folders etc that you didn't added:

 

  • Invite participants (as guest, contributor, manager or admin) and give / remove the access to the folder for which you also received an access
  • See and download documents and the versions of these documents, for the folders you received an access.
  • Create a list (with at least the Expert license)
  • Add documents and versions to the folders you received an access for and edit, move, remove an archive the documents you have added.
  • Add folders to the folder structure
  • You can edit/ archive/ remove all the data of the project. Doesn't matter who the author is.

 

This will become more clear when you will go into the rights by clicking on MANAGE:

 

 

 

 Example :

 

To be able to edit the access rights of the participants from your project

(+ to manage the accesses of your folders, look at the invitations, link the categories with the participants and have an overview of all the participants from every list) :

 

1) Go to the icon participants in the Entire project (black frame).

2) Click on the function manage, that you can see on the right top.

3) This is the grid you will see :

 

4) Click here on edit

 

5) You can now Edit the access rights, don't forget to save!

- Next to this you can see little V's and red crosses, with this we are showing you what the participant can or cannot do with the access right you chose.

Tip : The access rights of  invited users should be equal or lower as the invitors. A contributor cannot make someone manager of a project, for instance.

 

! When you invite a participant on your project, you need to give access to the documents and to the project !
